Volunteer Agreement & Code of Conduct

Effective and Active: Applies to all TotoAfrica volunteers
01.

What You Are Agreeing To

By signing your volunteer application and being matched to a TotoAfrica program, you agree to everything in this document. This is not a formality, it is a mutual commitment. TotoAfrica also makes commitments to you, which are listed in Section 7.

Accuracy and Honesty

  • All skills, qualifications, and experience you declare in your application are truthful and accurate
  • You will not misrepresent your professional credentials at any point during your involvement with TotoAfrica
  • For the Community Health Reach program, you will provide verifiable professional credentials before any clinical activity. Your credentials will be verified before deployment.
  • If your circumstances change in a way that affects your ability to fulfil your commitment, you will notify your program coordinator immediately

Conduct Standards

  • Treat all program participants with dignity, respect, and cultural sensitivity at all times
  • Do not share personal opinions on politics, religion, or contentious social issues with program participants
  • Maintain professional boundaries appropriate to your role, if in doubt, check with your coordinator
  • Ask beforehand for photograph or record of any participant. For minors, formal consent is required.
  • Do not make promises to any community member or participant that TotoAfrica has not authorized
  • Do not use your volunteer position to recruit participants for any external service, business, or organization
  • Arrive on time, prepared, and ready for your session. If you cannot attend, give the maximum possible notice.

Safeguarding Commitments (Mandatory for All Volunteers)

  • Two-adult rule: You will never be alone with a minor in any context during a TotoAfrica program
  • Reporting obligation: If you see, hear, or suspect that a child or vulnerable adult is at risk from any source, including other volunteers you will report it immediately to the Designated Safeguarding Officer (DSO)
  • Communication with minors: All contact with minors takes place through official program channels only. No personal phone numbers, social media connections, or direct messaging outside the program
  • Confidentiality: Information shared by participants in confidence is to be treated with care. Where that information reveals a safeguarding risk, it must be disclosed to the DSO confidentiality does not override child safety

Confidentiality

During your program involvement you will learn things about students, community members, and program participants. You agree to treat this information with discretion. You will not share individual stories, struggles, or personal details publicly including on social media without the explicit written consent of the person concerned, and where they are a minor, their parent or guardian.

This obligation continues after your volunteer engagement ends.

Intellectual Property and Content

Any materials, session plans, or program content you develop as a TotoAfrica volunteer are co-owned by you and TotoAfrica. You may use them for personal or professional portfolio purposes. TotoAfrica may use, adapt, and distribute them for program purposes. Neither party may sell or commercially license these materials without the other’s written agreement.

TotoAfrica's Commitments to You

  • We will provide a clear program brief, schedule, and expectations before your first session
  • We will never deploy you to a role your declared skills do not match
  • We will provide a named coordinator you can contact at any time during your deployment
  • We will take seriously any concern you raise about your safety, wellbeing, or program quality
  • We will provide a certificate of volunteering upon request at the completion of your program
  • We will include your contribution in our impact reporting attributed if you consent, anonymised if you prefer
